Data We Collect

We collect and process the following categories of personal data:

Contact and enquiry data (via our forms): Name, email, phone number, and company name when you submit a form or otherwise reach out to us. This is stored in our database (Supabase), and we receive an internal notification when a new enquiry arrives.

Booking data (via Cal.com): Name, email, the time slot you select, and any notes you add when you book a meeting with us.

Newsletter data (via Resend): Your email address when you subscribe, used to send the confirmation and the emails you signed up for. You can unsubscribe at any time using the link in every email.

Website analytics (via PostHog EU and Vercel Analytics): Pages visited, time on site, referral source, device type, and browser. Our analytics run without cookies - see the Cookies section below.

Is providing this data mandatory? No. Providing your data through our forms, booking, or newsletter is voluntary. If you choose not to, we simply will not be able to respond to your enquiry, book your meeting, or send you what you asked for.

Legal Basis for Processing

We process your data under the following legal bases (GDPR Article 6):

Consent (Art. 6(1)(a)): Newsletter sign-up, and any non-essential cookies should we introduce them. You can withdraw consent at any time.

Contractual necessity (Art. 6(1)(b)): Processing required to respond to your enquiry, book your meeting, and deliver our services to clients.

Legitimate interest (Art. 6(1)(f)): Securing our website, preventing abuse, and cookieless, aggregate traffic measurement to improve the site. We balance our interest against your rights and freedoms, and you can object at any time (Art. 21).

Where a processor offers one, we enter into a data processing agreement compliant with GDPR Article 28.

International Data Transfers

Most of your data is processed on EU servers. Some of our processors are based in or operate from the United States. Where personal data is transferred outside the EU/EEA, we rely on one of the following safeguards under Chapter V of the GDPR:

EU-US Data Privacy Framework (DPF): Vercel (hosting) and Resend (email) are certified under the EU-US Data Privacy Framework, so transfers to them are covered by the European Commission's adequacy decision of 10 July 2023, which remains in force.

Standard Contractual Clauses (SCCs): Where a processor is not DPF-certified, we rely on the European Commission's Standard Contractual Clauses, supplemented by appropriate technical and organisational measures.

Data Retention

Leads and prospects: Retained for 2 years after the last interaction, then deleted or anonymized.

Accounting records (invoices, bookkeeping material): Retained for 5 years from the end of the financial year they relate to, as required by the Danish Bookkeeping Act (bogføringsloven).

Other client data (contacts, content, records, and outputs): Returned or deleted at the end of the engagement, as described in our Terms.

Analytics data: Retained per PostHog and Vercel default retention settings (typically up to 12 months).

Newsletter data: Retained until you unsubscribe; unsubscribed contacts are removed within 30 days.

Your Rights

Under GDPR, you have the following rights:

Right of access (Art. 15): Request a copy of all personal data we hold about you.

Right to rectification (Art. 16): Request correction of inaccurate data.

Right to erasure (Art. 17): Request deletion of your data ("right to be forgotten"). To request deletion of data we accessed via a connected Instagram or Facebook account, email info@intense-solutions.com — we delete it within 30 days.

Right to restrict processing (Art. 18): Request that we limit how we use your data.

Right to data portability (Art. 20): Request your data in a machine-readable format.

Right to object (Art. 21): Object to processing based on legitimate interest, including direct marketing.

Right to withdraw consent: Where processing is based on consent, you can withdraw at any time without affecting prior processing.

We will respond without undue delay and within one month of your request. If the request is complex, we may extend this by up to two further months and will tell you why within the first month. If you are not satisfied with our response, you have the right to lodge a complaint with the Danish Data Protection Authority (Datatilsynet):

Cookies

We keep cookies to a minimum and run our analytics without them.

Strictly necessary: A small number of cookies may be needed for the site to function (for example remembering your language). These do not require consent.

Analytics (cookieless): Our traffic and product analytics (Vercel Analytics and PostHog) are configured to run without cookies or browser storage, so they do not track you across sites and do not require a consent banner.

We do not set non-essential analytics or marketing cookies. If that ever changes, we will ask for your consent first through a cookie banner and update this policy.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. For significant changes, we will notify affected individuals via email where possible.
